Welcome to VortexStay, a hotel management, accommodation booking, reservation, and hospitality services platform.
These Terms & Conditions (“Terms”) govern your access to and use of the VortexStay platform, including the website, web applications, mobile applications, hotel management tools, customer booking services, reception systems, APIs, and other services provided by VortexStay (“Services”).
By accessing, registering for, or using VortexStay, you acknowledge that you have read, understood, and agreed to be bound by these Terms and our Privacy Policy.
If you do not agree with these Terms, you must not use the VortexStay Services.
For purposes of these Terms:
You may use VortexStay only if you are legally capable of entering into a binding agreement under the laws applicable to you.
When creating an account, you agree to provide accurate, complete, and current information.
You must not create an account using false information, another person's identity, or information that you are not authorized to use.
Certain VortexStay features may require registration.

You are responsible for activities conducted through your account unless unauthorized use occurred through circumstances beyond your reasonable control.
VortexStay may suspend or terminate accounts that violate these Terms or present security, legal, or operational risks.
Hotels using VortexStay are responsible for ensuring that all information they provide is accurate and up to date.
Hotel owners and authorized staff are responsible for:
VortexStay does not guarantee that information supplied by an individual hotel is always accurate, complete, or current.
Hotels remain responsible for complying with all applicable laws, regulations, licenses, permits, health and safety requirements, and hospitality obligations.
A booking request submitted through VortexStay does not necessarily constitute a confirmed reservation until confirmation is issued by the Platform or the relevant Hotel.
The availability of rooms is subject to the information supplied by the Hotel and the hotel's actual inventory.
Once a reservation is confirmed, the Customer is expected to comply with the booking details, including:
VortexStay may send booking confirmations, updates, reminders, or other reservation-related communications electronically.
Prices displayed through VortexStay may include or exclude taxes, service fees, government charges, or other applicable costs depending on the booking.
The applicable price and charges will be presented to the Customer before confirmation where reasonably possible.
Hotels are responsible for providing accurate pricing information.
VortexStay reserves the right to correct pricing or system errors.
If an obvious pricing or system error occurs, VortexStay may contact the Customer or Hotel to correct or cancel the affected transaction where permitted by applicable law.
Where VortexStay provides payment functionality, payments may be processed through approved payment providers or other authorized payment channels.
VortexStay may not directly store complete payment-card information where payment processing is handled by a third-party payment provider.
Users agree to provide valid payment information when required.
A booking may be cancelled or placed on hold if required payment is not successfully completed.
Payment processing may be subject to additional terms imposed by the applicable payment provider.
Cancellation and refund conditions may vary depending on:
Customers must review the cancellation conditions before confirming a reservation.
Where a refund is applicable, the refund process may depend on the payment method and payment provider.
Unless expressly stated otherwise, VortexStay does not guarantee a refund where a Hotel's stated cancellation policy does not permit one.
If a Customer does not arrive for a confirmed reservation without properly cancelling it, the booking may be treated as a “No-Show.”
A Hotel may apply its published No-Show policy, including applicable charges, subject to applicable law and the booking terms.
Customers must comply with the Hotel's check-in and check-out requirements.
Hotels may require valid identification or other information where legally permitted or required.
Early check-in, late check-out, additional guests, room upgrades, or other special requests are subject to Hotel availability and may involve additional charges.
Customers must comply with reasonable Hotel rules, safety requirements, and applicable laws.
Users must not:
Hotels may take reasonable action against guests who violate their published rules or applicable laws.
VortexStay aims to provide a reliable platform but does not guarantee that the Services will always be:
VortexStay may temporarily suspend or restrict access for maintenance, upgrades, security, technical problems, or circumstances beyond our reasonable control.
VortexStay may integrate with third-party services, including:
Third-party services may have their own terms and privacy policies.
VortexStay is not responsible for the independent operation, availability, or policies of third-party services.
All VortexStay software, branding, logos, designs, interfaces, documentation, databases, graphics, and original content owned by VortexStay are protected by applicable intellectual property laws.
You may not copy, reproduce, modify, distribute, sell, reverse engineer, or commercially exploit VortexStay technology without prior written authorization.
Hotels and Users retain ownership of content they lawfully submit to the Platform, subject to the license necessary for VortexStay to operate the Services.
By submitting information, photographs, descriptions, reviews, or other content to VortexStay, you represent that:
You grant VortexStay permission to use submitted content as reasonably necessary to provide, operate, promote, and improve the Services.
Where reviews or ratings are available, Users must provide honest and genuine feedback based on their actual experience.
Users must not:
VortexStay may remove content that violates applicable policies or laws.
You must not use VortexStay to:
Your use of VortexStay is also governed by our Privacy Policy.
The Privacy Policy explains how VortexStay collects, uses, stores, shares, and protects personal information.
To the maximum extent permitted by applicable law, VortexStay will not be responsible for indirect, incidental, special, consequential, or unforeseeable losses arising from the use of the Platform.
VortexStay is a technology platform and does not own or operate every Hotel listed on the Platform unless expressly stated.
The Hotel remains responsible for the accommodation and services it provides to Customers.
Nothing in these Terms excludes liability that cannot legally be excluded or limited under applicable law.
VortexStay will not be responsible for failure or delay caused by circumstances beyond reasonable control, including natural disasters, epidemics, war, civil disturbances, telecommunications failures, power outages, government actions, cyber incidents, or failures of third-party infrastructure.
VortexStay may suspend or terminate access to an account where reasonably necessary due to:
Users may request account closure subject to outstanding bookings, payments, legal obligations, and data retention requirements.
VortexStay may update these Terms when necessary.
Material changes may be communicated through the Platform, email, account notifications, or other reasonable means.
Continued use of the Services after the effective date of updated Terms constitutes acceptance of the revised Terms, to the extent permitted by applicable law.
These Terms shall be interpreted in accordance with applicable laws.
Where appropriate, disputes should first be addressed through good-faith communication with VortexStay.
Nothing in this section prevents a User from exercising mandatory rights or remedies available under applicable law.
